Three Quick Ways to Improve E-mail Communications

Have you ever wondered why you may have trouble seeing images in an email from The Hartford or why a message may appear to contain no information?

Through a variety of surveys The Hartford has conducted over the past two years, agents have overwhelming endorsed “e-mail” as the preferred method of communication.  During that same period of time, we have noticed an increase in the volume of messages that ask, “Why can’t I see the picture you are describing in your message?”  Or, “There is no information displayed in your e-mail.”

Outlook Defaults

One reason there has been a recent increase in these types of questions is that more agencies are installing current versions of Outlook – Outlook 2003 or 2007 ─ as their e-mail application.  These versions of Outlook have a default setting that blocks the display of images unless you right-click on the area where the image would be displayed and elect to download the images.

Spam Filters

In the case of spam filters, they are simply becoming more selective in what they allow through to your e-mail account.  Some spam filters do not allow e-mail messages through unless the domain from they are sent is an approved or “whitelisted” domain (ex. @thehartford.com).   The Hartford uses an e-mail application that utilizes three possible domain names.  Please ask your e-mail systems administrator to list the following domains as approved:

  • @mail.vresp.com

  • @vresp.com

  • @verticalresponse.com

Image Blocking

If it would be more convenient to have images turned on as your default setting, the following instructions walk you through the process.  However, before making these or any changes to your system settings, always check with your agency’s e-mail systems administrator to insure you are in compliance with your agency’s policies.  Please note that the following steps will result in images automatically appearing in all of your email; the default setting will not be limited to email received from The Hartford or other approved domains.

  • Open Outlook and click on Tools, then select Options

  • Under Options, select the Security tab

  • Go to Download Pictures and click on Change Automatic Download Setting

  • Uncheck the box next to “Don’t download pictures or other content automatically in HTML e-mail”

  • Click OK in that window and the Options window to complete the process.
