Attendance Management Policy

At The Hartford, we know there's more to life than work. So we encourage you to find a healthy balance between your job and your personal life. We offer a generous block of paid time off (PTO) for you to use when you need it. It's important to schedule PTO with as much notice as possible. This helps us plan ahead and ensure we can deliver on our promises to our customers.
 
We understand, though, that sometimes unexpected things happen. If you need to take unplanned time off, please contact your manager and follow local business practices.
 

Eligibility/Scope

This policy applies to all employees of The Hartford and its participating subsidiaries who are based in U.S. locations of The Hartford.
 

Unscheduled Absences

Significant unscheduled time off affects your productivity, impacting your teammates and our customers. If you take an excessive amount of unplanned time off, the following guidelines will be followed:
 
IF the employee has this many unscheduled hours within a calendar year

At The Hartford, we encourage our managers to coach and support their employees through difficult times. Managers have discretion when addressing attendance issues and should coach to The Hartford Behaviors as needed.
64 to 71 hours
 
Documented Verbal Warning
 
72+ hours
Written Warning
Remains in effect for 60 calendar days or until the
end of the calendar year, whichever is longer
Additional Unscheduled Hours
Consult with Employee Relations 
 
When any type of warning is issued:
 
  • Managers must provide the employee a copy of any warnings they deliver within one day of presenting the warning and place a copy of the warning in the personnel file. 
  • Employees may add their own statement as an addendum to the warning document and managers must place the addendum in the personnel file. 
Important for managers to know:
 
  • Many state and local municipalities have laws entitling employees to paid leave. Because The Hartford's PTO Policy complies with these laws, time used for paid leave protected by a state or local law will be deducted from an employee's accrued PTO bank.
  • Where state and local leave laws are more generous than our PTO policy, we adjust our processes around those.  Where our PTO policy is more generous than a state's or municipality's leave law, we administer to our policy. Prior to taking attendance action, please refer to the chart of State Specific Guidance for more details.
  • Leaders may view additional information regarding legal requirements on the "Managing Attendance" page on myER or you may contact Employee Relations. 
  • If the employee has no time in their PTO bank, they are allowed to borrow up to one work week equivalent time.
  • If you have an exempt employee experiencing attendance issues, you should consult with Employee Relations before taking any action.
