The Hartford is committed to protecting the safety and security of all persons accessing its facilities and premises. The Hartford also adheres to security practices designed to protect the interests of our customers, employees and stakeholders.
Managers and employees are responsible for adherence to company policy. Failure to do so may result in disciplinary action up to and including termination.
Rationale
This policy provides for the safety and security of all persons accessing our facilities and premises by maintaining safety standards and protecting corporate and personal assets against theft and misuse. Further, it limits potential distractions and disturbances in the workplace.
Eligibility/Scope
This policy applies to all individuals seeking access to The Hartford’s premises, specifically including employees, contractors, clients, tenants, and employees' acquaintances, friends and family members, regardless of whether the purpose of the visit is for business or personal reasons. This policy shall cover all areas and businesses of The Hartford's domestic and international business operations. Non-U.S. units shall apply the intent and provisions of this policy, unless local law requires otherwise.

The Hartford uses the following badge types to enable access to the company’s facilities:

Badge Holder Responsibilities
Badge holders have the following responsibilities:
- Visibly display your security badges while at The Hartford’s facilities or premises.
- Do not share your security badge with anyone else – the badge was issued to only you.
- Return your security badge upon termination of your employment or vendor engagement.
- Safeguard your security badge from loss or unauthorized usage. This means that you must immediately report lost/missing badges to Corporate Security.
- You may be held responsible for replacement cost for lost or damaged badges.
- Do not allow anyone else (including other Badge Holders) to enter or tailgate into an area using access granted by your security badge.
- Do not prop open any security door, attempt to evade or defeat any security control measures or access restricted areas.
- Do not tamper with, deface or attempt to duplicate security badges.
- Use log-in/log-out readers, where present, each time you enter or leave the facility.
Escorting Visitors
Visitors must be escorted at all times by either an employee of The Hartford or a vendor partner with escort privileges. Certain contractors and vendors can obtain approval for escorting visitors with management approval and through the Joint Operating Committee which is run/governed by the Enterprise Sourcing Operations Governance. The Hartford’s employees, contractors and vendors (“Visitor Escorts”) have responsibility for the conduct and safety of the escorted visitor. Visitor Escorts have the following obligations:
- Confirming that the visitor has registered with security (or reception). Registration includes security /reception verifying the visitor’s identification using government-issued photo identification, such as a driver’s license, passport or military identification.
- Staying with the visitor the entire time the visitor remains inside The Hartford’s facility.
- Facilitating a safe evacuation of the visitor if an emergency situation or evacuation drill occurs.
- Making sure that the visitor complies with all company policies and guidelines.
Emergency and Evacuation Requirements
The Hartford’s employees and The Hartford’s vendor partners/contractors assigned to The Hartford’s facilities must familiarize themselves with building emergency procedures and evacuation routes and staging areas.
The Hartford’s facilities contain audible and visual warning devices to notify occupants of a building emergency. Testing of these systems and evacuation drills occur on a periodic basis. All building occupants, including visitors, are required to participate in these drills. More information may be found at the internal website of The Hartford’s Business Resilience Office.
Property Removal
The Hartford’s employees or vendor partners removing equipment or property from The Hartford’s facility must complete a property removal form and present it to Security along with the equipment leaving the building. The property removal form may be accessed on the internal website of The Hartford’s Business Resilience Office.
